Terms & Conditions of Hire

Stradbroke Island Hire

These Terms & Conditions apply to all hire items, services, and bookings made with Stradbroke Island Hire (“we”, “us”, “our”). By placing a booking or accepting a quote, the client (“you”, “your”) agrees to be bound by these Terms & Conditions.

1. Bookings & Payment

All bookings are subject to availability and are confirmed once a booking request has been received, unless otherwise agreed in writing. Payment must be made by the due date stated on the invoice in order to secure the hire items.

If payment is not received by the due date, we reserve the right to release the items back into our inventory without notice.

2. Pricing

All prices are quoted in Australian dollars and are subject to change until payment is received. Pricing is based on the agreed hire period and event details provided at the time of booking. Additional fees may apply for extended hire periods, delivery, collection, or special requests.

3. Security Deposit

A security deposit is required prior to delivery or collection of hire items. This deposit is held as security against loss, damage, excessive cleaning, or late return.

Following the return and inspection of all hire items, the security deposit (less any applicable deductions) will be processed for return. Please allow up to 14 business days, depending on your banking institution.

4. Delivery, Collection & Access

Delivery and collection times will be agreed in advance. The client is responsible for ensuring clear and safe access to the delivery and collection location at the agreed times.

If access is unavailable or delays occur outside of our control, additional fees may apply.

5. Care & Use of Hire Items

All hire items remain the property of Stradbroke Island Hire at all times. The client is responsible for the care and safekeeping of the items from delivery until collection.

Hire items must be used for their intended purpose only and in a safe manner. Items must not be altered, damaged, or exposed to conditions likely to cause damage (including weather, heat, moisture, or staining substances) unless agreed in advance.

6. Loss, Damage & Cleaning

The client is responsible for any loss, theft, or damage to hire items during the hire period, including damage caused by guests, vendors, or weather.

We reserve the right to charge for:

  • Repair or replacement of damaged or missing items

  • Excessive cleaning

  • Items returned wet, broken, or in an unsatisfactory condition

Any such costs may be deducted from the security deposit, with additional charges invoiced if required.

7. Cancellations & Changes

Cancellations or changes must be provided in writing.

Clients whom cancel Hire Services:

(i) More than 180 days before the Hire Dates will forfeit the $1000 security bond

(ii) within 30 days of the Hire Dates will forfeit all funds paid to Stradbroke Island Hire, minus any bond and/or delivery fees that have already been paid in full.

Postponements in connection with the Hire Dates may be subject to service and administrative fee’s at Stradbroke Island Hire’ discretion and: 

(i) Postponements more than 10 months in advance of the Hire Dates will incur no financial penalty and monies paid may be applied to the newly scheduled date.

(ii) All postponements must be held within 12 months of the Hire Dates, otherwise the event will be deemed to have been cancelled.

(iii) If an event is postponed within 10 months of the Hire Dates, a fee of up to $1,000.00 of the Payment Amount will apply.  Any fees already paid may be withheld by Stradbroke Island Hire.  Any amounts returned for postponement are done so at the discretion of the Director.

We recommend clients obtain appropriate event insurance.

8. Weather & Force Majeure

We are not responsible for delays, failure to deliver, or damage caused by events beyond our control, including but not limited to severe weather, natural disasters, road closures, or acts of God.

9. Liability

To the extent permitted by law, Stradbroke Island Hire is not liable for any injury, loss, or damage arising from the use of hire items. The client agrees to indemnify us against any claims resulting from the use or misuse of the hire items during the hire period.

10. Photography & Marketing

We reserve the right to use images of our hire items taken at events for marketing and promotional purposes, unless otherwise requested in writing prior to the event.

11. Governing Law

These Terms & Conditions are governed by the laws of Queensland, Australia.

12. Acceptance

By confirming a booking or making payment, the client acknowledges they have read, understood, and agree to these Terms & Conditions.
